7. Job Summary (The main purpose of the job)
As Administration Officer you will be a vital member of the company and as such your job will involve you supporting other members of the team. Your job is to perform your duties to enable the development staff to focus on core elements to ensure delivery of the community business plan. All responsibilities must be completed each week to continue the good reputation Accrington Stanley Community Trust has in terms of organisation. Communication between colleagues must be excellent to ensure all roles are complete. You will also be required to be involved in various projects the Trust deliver. There is a minimum requirement for the holder to have a full valid UK driving licence with business insurance as travelling across east Lancashire and other areas will be part of this role. There will also be an expectation of the post holder to deliver sessions on our Holiday Courses as well as assist our coaches at various school sessions from time to time.
8.1 To undertake a lead role in all administration jobs on behalf of Accrington Stanley Community Trust (ASCT).
8.2 To write and dispatch routine or straightforward letters.
8.3 To answer general queries by telephone and make calls to people when required.
8.4 To organise and manage all administration paperwork such as registers and parental consent forms. Maintain records, filing systems and computer files. This will involve creating spread sheets and word documents to keep organisation standards high.
8.5 To collect accurate information that will be entered into the Football League Trust’s data management system in order to monitor participation and the delivery of activities involving young people.
8.6 To organise and manage all forms of post which include distributing incoming post to the relevant people and posting outgoing post on a daily basis.
8.7 To manage the administration email account at ASCT and respond to every email in a positive manner. Delegate emails to the correct employees as and when received.
8.8 To assist development staff as necessary and undertake any other tasks/duties as may be reasonably required.
8.9 To ensure ASCT has catering facilities at all times in the office.
8.10 To undertake a lead role in the organisation of Player Appearances for ASCT events and third party organisation requests. This will involve liaising with the Assistant Community Manager and employees of Accrington Stanley Football Club. Record all information into the Football League Trust’s data management system.
8.11 To ensure you have a fantastic up to date knowledge of all ASCT projects and activities so that information can be given to customers when requested.
8.12 To write a weekly column in the local newspaper and complete match day programme notes on behalf of ASCT for all Accrington Stanley Football Club home matches
8.13 Deliver fun sessions and games for children on all Holiday Courses in the Activity Club
8.14 Go to some school sessions with our coaches and assist them with delivery.
- GCSE in English and Mathematics Grade C or above
- Educated to A Level standard or equivalent
- Good Keyboard skills.
- Computer literate in Microsoft Office.
- Ability to meet deadlines.
- Ability to communicate effectively at all levels within an organisation.
- General Office experience.
- Being able to work as part of a team.
- Driving Licence and access to a car
- Previous experience of working with children
- Educated to degree standard
- Sports coaching qualifications
